Litigation Administrative Assistant

Location: Downtown San Diego, CA
Practice Area: Commercial Business Defense - Civil Litigation
Schedule: Full-time (40 hours/week, 8:30 AM - 5:00 PM, 30-minute lunch)
Compensation: $70,000 - $95,000 annually + benefits

About the Role

A leading Am Law 100 firm is seeking an experienced Litigation Administrative Assistant to join our collaborative team in our downtown San Diego office. This role offers an exciting opportunity to provide high-level administrative and legal support to attorneys and paralegals handling complex commercial, civil, and business defense litigation matters.

Key Responsibilities

  • Provide comprehensive administrative and litigation support to attorneys and paralegals
  • Manage attorney calendars, coordinate schedules, and arrange travel
  • Prepare, revise, and finalize legal documents including pleadings, correspondence, and filings
  • Perform electronic filing (e-filing) in State and Federal courts
  • Schedule depositions, mediations, hearings, and client meetings
  • Communicate professionally with clients, court personnel, and internal teams
  • Assist with all phases of litigation, including trial preparation and attendance (preferred)
  • Conduct conflict checks and open new client/matter engagements
  • Maintain and organize electronic files and document management systems
  • Assist with billing processes, including time entry, invoice preparation, and expense reports
  • Maintain accurate client and contact records
  • Perform additional administrative and clerical duties as needed

Qualifications

  • Minimum 4+ years of recent State and Federal litigation experience in a law firm
  • Strong experience with e-filing in multiple jurisdictions (State & Federal)
  • Background supporting commercial litigation and business defense matters
  • Exceptional writing, proofreading, and communication skills
  • High attention to detail and strong organizational abilities
  • Ability to manage competing priorities and meet tight deadlines
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Experience with document management systems, docketing systems, and billing/time entry software preferred
  • Self-motivated with a collaborative, team-oriented mindset
